How It Works

How can people check-in?

We offer two distinct methods of check-in: admin check-in (i.e you do the check-in) or visitor facing check-in (i.e. self check-in). For admin check-in, simply download the iOS app on you iPhone or iPad or use the web dashboard to check-in people.

For visitor facing check-in, you can either share a public QR code (same as the public check-in link), private/individual QR code, setup a kiosk on your iPad, or ask visitors to check-in via SMS.

What are profiles?

Profiles are unique records of visitors, like contacts in an address book. Profiles can be used to represent Students, Members, Employees, Guests, Customers, any person who visits

What makes OneTap different than other visitor management apps?

OneTap app is designed to be a database-oriented application, based on profiles. This makes us great for use-cases around attendance for visitors who frequently visit your location. Contrary to visitor management apps that track attendance for less frequent re-visiting visitors.

How is check-ins different from profiles?

A profile can be added to a list and be checked-in. A check-in cannot take place without a profile. Think of profiles like contacts on your phone address book; think of check-ins like performing an action on a contact like calling/texting.

Will it work on multiple devices, at the same time?

Yes - all of your data is saved in the cloud. Multiple devices can check-in and sync data at the same time. In most practical cases up to 15 devices can work together at once.

Can I add other people to my account? (i.e. have more than one login?)

Yup - you can add collaborators.

What do I need to download?

OneTap web/admin dashboard is officially supported on Google Chrome. OneTap public check-in links work on most modern browsers like Google Chrome, Firefox, and Safari. OneTap admin mobile app only works on newer iOS devices.

What hardware do I need?

To get the full OneTap experience we recommend an iPad or iPhone bought within the last 3-4 years.

Does it work offline?

Not at the moment, you will need internet access.

Does it work on Android devices?

What is a collaborator?

Collaborators are team members who share your account data. They can view lists, profiles, check people in, and download reports. You can invite collaborators from your dashboard settings and control their access levels.

What's the difference between custom barcodes and QR passes?

QR passes are unique QR codes generated by OneTap for each profile. Custom barcodes let you use your existing ID system (like Student IDs or Employee badges) - you can scan pre-existing barcodes instead of our generated QR codes.

What is Autolink? Do I need to set up autolink?

Autolink automatically connects check-ins to profiles based on phone number or email. It's not required for basic check-ins - most users don't need to configure it. Autolink is useful when integrating with external forms or systems.

What are admin devices?

Admin devices are iPhones or iPads with the OneTap app installed. They're used by your team to check people in, view lists, and manage attendance on the go. Multiple admin devices can work simultaneously and sync in real-time.

How does the profile quota work? Can I reuse profile slots?

Your plan's profile limit counts your current active profiles and not the total ever created. So if you have a 200-profile plan and currently have 100 profiles, you have 100 slots available. If you delete 50 profiles, your available count goes back up to 150 immediately. You can freely delete and recreate profiles within your limit.

Can we integrate OneTap with other platforms like Skool or HubSpot?

Yes! OneTap supports integrations via Zapier, n8n, JotForm, and our public API. This lets you connect OneTap with hundreds of platforms including CRMs, form builders, and community tools. Reach out to us via chat for guidance on setting up a specific integration.

What's next after I purchase?

Once you upgrade, head to your dashboard and: (1) Create a list for your event or location, (2) Add profiles - manually, via Excel import, or via a registration form, (3) Download the OneTap iOS app on your iPhone or iPad, (4) Start checking people in. The whole setup takes under 10 minutes.

Pricing

Can I cancel anytime? Am I locked into a contract?

Our plans are annual subscriptions. We don't believe in contracts - you can cancel at any time from your dashboard.

What is the refund policy? What happens if the product does not work?

Non product defect? We’re friendly 🙂, we can refund subscription purchases up to 10 days after purchase for any reason.

Product defect? If you experienced a critical bug that impacted your check-ins, email us at [email protected] and we will happily refund your subscription up to 30 days from purchase.

How do I cancel my recurring subscription?

You can cancel from the settings page on the dashboard.

Can I try OneTap before purchasing a plan?

Not at the moment - feel free to check out our free plan instead.

What payment methods do you accept? Can I pay by ACH, check, or wire transfer?

We accept any credit or debit card with Mastercard, Visa, Discover Network, American Express. We can send you an email invoice for ACH, check, or wire transfer. Email us at [email protected] or use the website chat.

What does support look like?

Our team is typically available from 11 AM - 4 PM US Eastern Time. You can talk to us using our website chat, click the chat icon on the bottom right corner.

Do you provide monthly plans?

We only offer annual plans at this time. Annual plans provide the best value and help us maintain affordable pricing while investing in product improvements.

If I have a plan and want to upgrade to another higher plan, what will be the charges?

When you upgrade mid-cycle, you'll be charged a prorated amount for the remainder of your current billing period. The upgrade takes effect immediately, and you get instant access to all new features.

Do you offer any discounts?

Yes! We offer a 30% early bird discount for new customers during our launch period. Enterprise customers can contact us for custom pricing. We also occasionally run promotional campaigns - follow us on social media to stay updated.

Events

Does it work offline?

Not at the moment - you will need internet access to check-in people.

Can multiple events take place at the same time?

Yup - you can have multiple lists, each device or collaborator can check-in on their individual list.

Does it work with Excel?

Yup - you can import guest-lists and export attendance in xlsx format.

Can I add walk-ins during the event?

Yup - you can create profiles/guests on the iOS app.

Billing & Account

How can I change my card details?

You can update your payment method from the Account Settings page in your dashboard. Navigate to Settings > Plan Details > Update Payment Method.

Where can I find my recent invoice?

All invoices are sent to your billing email address automatically. You can also view and download past invoices from Settings > Plan Details > Billing History.

What if my renewal payment gets declined?

Our system will automatically retry the payment within the next 24 hours. Please ensure your card has sufficient balance and hasn't expired. If payment continues to fail, you'll receive an email notification with instructions.

Can I pause my account for a while?

We don't have an automatic pause feature, but reach out to us via chat or email at [email protected] and our team will be happy to work something out with you.

Which plan am I currently on? Did my badge change after purchasing?

You can always see your current plan from Account > Plan Details in your dashboard. After a successful purchase, your plan badge updates immediately and all new features become available right away.

Can I pay with a Purchase Order (PO)?

Yes. We can accommodate PO-based payments. Email us at [email protected] or use the chat on our website and we'll send you the details.
